This Privacy Policy explains how Mena Oasis (“Mena Oasis,” “we,” “us,” “our”) collects, uses, shares, and protects personal data when you use the Mena Oasis mobile application and its related services (the “App” or “Services”).

2) Data we collect

 Chalet Rentals

Name, username, phone number, email address, chalet/house number, and any information required for account creation or verification

Household & visitor data

Family member details, visitor submissions (e.g., names, phone numbers, visit purpose), and guard-related override notes.

Bookings & operations

Chalet rental requests, booking dates, cancellation requests, approval history, and related metadata.

QR & access control data

Visitor QR codes, timestamps, usage logs, and approvals/denials recorded at the gate.

Account & usage

Profile information, device identifiers, app interactions, in-app actions, diagnostics/crash logs.

Content you upload

Documents or images you voluntarily provide (e.g., ID photos, payment proof where required).

3) How we collect data

We collect data in three ways:

Directly from you: when you create your account, add visitors or family members, request chalet rentals, submit overrides, or upload any content.

Automatically: device information, app interaction logs, error reports, analytics, and crash diagnostics.

From internal roles:

  • Admin actions (approvals, rejections, notes)
  • Guard inputs (override requests, confirmations at the gate)

All data collection is tied to the functioning of the App within the Mena Oasis community.

4) Why we use data (purposes & legal bases)

To operate the App and provide your account

Creating resident profiles, enabling logins, managing family members, and allowing visitor entries.

Security, access control & community operations

Generating QR codes, processing guard requests, logging gate entries, and enforcing compound rules.
Legal basis: legitimate interests / legal obligations

Chalet rentals & administrative requests

Processing rental submissions, cancellations, and approval workflows.

Notifications & support

Sending alerts about approvals, rejections, QR codes, newsletters, and security updates.

Analytics & improvements

Improving app reliability, performance, and features.
Legal basis: legitimate interests / consent where required

Legal & compliance

Responding to security incidents, protecting resident safety, and complying with lawful requests.

We do not use your data for any purpose incompatible with the above.

5) Sharing your data

We share data strictly as needed to run the App:

Service providers

Cloud hosting. Their contracts limit use of your data solely to providing services for us.

Compound administrators

Admins receive only the information necessary to review and approve your requests (rentals, visitors, family-member changes, booking cancellations, overrides).

Security guards

Guards receive only what is required to verify entries, view QR codes, handle mismatched passenger counts, and submit override requests.

Legal/compliance

We may disclose data to authorities if required by law or for safety and security purposes.

We do not sell or rent your personal information.

6) Data retention

We retain data only as long as needed for community operations and legal obligations.

Account & household data: kept while your account remains active and for a limited period afterward for inquiries or disputes.
Visitor & QR logs: stored for security and audit purposes for a defined retention period.
Chalet rental records: retained as required by administrative policy and local regulations.

Backups may persist briefly but are removed according to our data-retention schedule.

7) International transfers

Your data may be stored on secure servers outside Egypt. We use reputable providers and appropriate safeguards such as contractual protections and technical security measures. Additional steps will be taken where required by applicable law.

8) Your rights

Subject to local law, you may request to:

• access your personal data
• correct inaccurate information
• delete your data
• restrict or object to processing where applicable
• withdraw consent for optional features such as marketing (if used in future)

9) Security

We use technical and organizational measures such as encryption in transit and at rest, limited access controls, role-based permissions for admins/guards, and monitoring tools to protect your data.
While we strive to protect all information, no system is completely immune to risk.

10) Children

The App is intended for adult residents and authorized staff (18+).
If we become aware that data from a minor was collected without required guardian consent, we will delete it.

11) Deleting your account

You can request account deletion by emailing info@mena-oasis.com.
If there are pending approvals, rental fees, or security matters, deletion may be delayed until they are resolved.
Certain records may be retained to meet legal or security requirements.

12) Changes to this Policy

We may update this Privacy Policy. The “Last updated” date will change accordingly.
If a revision materially affects your rights, we will provide in-app or email notice and request consent where required.
